Dutchlander respects your privacy. Therefore, your personal data is collected and stored with the utmost care. Dutchlander wants to be accountable for this. This statement explains why we collect and store your data and how we use it.

Collection and use of personal data of customers, suppliers, and other contractors

Dutchlander processes your personal data for the following purposes:
- To contact you and provide you with the requested information
- To validate your warranty certificate during the validity period.

We would like to inform you that we will collect and use the personal data you provide us because this is necessary to conclude and execute any agreement with you. This applies to both our (potential) customers and to parties from whom we purchase goods and/or services.

If you are a (potential) customer of ours, we use your data to send you a quotation, to determine the specifications or wishes of a particular matter or service, to deliver goods or perform work for you, to invoice you, and to communicate with you smoothly and efficiently about the implementation aspects of the agreement.

If you are a (potential) supplier or other contractor, your personal data is also necessary for the conclusion and execution of the agreement. In procurement, this is necessary to inform you of the specifications or wishes a particular matter or service should meet, to send a quotation request, or place an order with you, pay your invoices, and communicate smoothly and efficiently with you about other aspects of the agreement.

You are not obliged to provide us with your personal data. However, if you do not provide us with or provide us with insufficient personal data, it may not be possible for us to carry out the aforementioned activities.

If you are a relation of ours, we use your data to contact you for purposes that are in the interest of our company. This includes discussing a potential collaboration, providing and obtaining information, and maintaining our network.

You are not obliged to provide us with your personal data. However, if you do not provide us with or provide us with insufficient personal data, it may not be possible for us to carry out the aforementioned purposes. Your data will be deleted one year after the last contact.

Transfer to third parties

In connection with the execution of any agreement with you, it is possible that we must provide your personal data to parties that supply parts, materials, and products to us or perform activities on our behalf. We also use external server space for the storage of (parts of) our contact database. If you are a relation of ours, your personal data is part of this. For this reason, your personal data is provided to our provider of server space. Furthermore, we use Microsoft Office and its storage facilities for emails and other files. Because we use a newsletter mailing service, your personal data is also transferred to the provider of this service.
Dutchlander does not sell your data to third parties and will only provide it if necessary for the execution of our agreement with you or to comply with a legal obligation. We enter into a data processing agreement with companies processing your data on our behalf to ensure the same level of security and confidentiality of your data. Dutchlander remains responsible for these processing operations.

Direct marketing

If you regularly order from us, we will retain and use the personal data you provide to inform you personally by email in the future about our existing and new products and services and possibly make you an offer. We have a legitimate interest in using your personal data for this purpose, namely to promote our products and services. Each time we send you a promotional email, you have the option to inform us that you no longer wish to receive such emails. See the unsubscribe link at the bottom of each email.
If you are a one-time customer of ours, we will only send you promotional messages if you have given us your prior consent.

Retention period of personal data

If you have requested a quotation from us but have not become a customer, we will delete your data no later than one year after our last contact. Even if we have received a quotation from you but have not become a customer of yours, your personal data will be deleted no later than one year after our last contact. If you have become a customer of ours or we of you, we will retain your personal data for the duration of seven years after the end of the financial year in which the agreement with you has been fully executed. The period of seven years corresponds to the period within which we are obliged to keep our records for the Tax and Customs Administration. After this period, we will delete your personal data. Dutchlander does not retain your personal data for longer than is necessary for the purposes for which your data was collected. We use the following retention periods for the following categories of personal data:
- Personal data filled in after a request on our website > 1 year > To be able to contact you and provide you with the information you requested.
- Personal data filled in after warranty registration > 3 years > To validate your warranty certificate during the validity period.
